Interoute Telecommunications Ltd. Intranet
Interoute's Intranet was designed to be the primary hub of information for all employees at the company throughout the world,
allowing them access to documents, book holiday time, access company information, keep up to date with the company news and
a host of other information and uses.
When joining the company, the existing Intranet had become out of date and unused after
all the previous web developers left and therefore it was decided that the new Intranet could be started from scratch based
on the users current requirements. The actual design and layout of the Intranet was designed and created by myself with a few very minor
modifications made after user feedback.
The system used the users NT authentication and therefore would not require the user to log in. Having the user identified
meant that parts of the system would be specifically tailored for certain people, allowing some access and features that others wouldn't have.
The Intranet featured a number of applications for the employees to use to facilite the easy transfer and retrieval of information.
Included in these were:
Document Management System.
The document management system allowed users to upload documents onto the Intranet to share with others in the company.
Features of the system were:
- Complete user document control.
- Secure documents via user defined access lists.
- Individual sections for each department.
- Add / remove document folders / sub folders.
- Quick update of existing documents.
- Document search.
- Super user and standard user access.
The system was fully user controlled, allowing a super user in the department to determine who else in the department could have access to
upload and modify document information. Documents could be uploaded, have specific access lists set against them, be moved around folders,
or removed entirely by the authorised user without intervention from the Web Services department. The original system was designed and coded
by myself after a number of meetings, with some minor enhancement being added by myself and my co-worker after user feedback.
Online Leave Booking System
The leave booking system allowed users to request and book all types of leave, from holiday to sick to maternity leave.
Features of the system were:
- Complete user control.
- Human Resources override facility.
- Allowed for holiday carryover.
- Specifically tailored for each type of leave.
- Fully recorded information.
- No paperwork.
Depending on the type of leave chosen, emails would be sent to the relevant people to let them know that the user has requested
leave. Those people could then authorise or refuse the request with an email being sent back to the relevant user.
The system was controlled by the users with Human Resources setting up new users and managers and removing those that had left.
Designed by my co-worker in conjuction with the Human Resources department, the system was co-written between us.
User Updates
The Intranet was designed to be as user updatable as possible to ensure that the information shown was as up to date as possible.
To try and ensure that the information was up to date a number of systems were produced to allow the relevant users to
keep the information in their section relevant. These systems included:
- News & general information.
- Frequently asked questions.
- Company benefits.
- Department contacts section.
- Key dates.
- Emergency procedures.
All of the above sections were designed and coded by myself after a number of meetings with relevant personnel to decide the
exact requirements.
Detailed Network Information System
The detailed network information system allowed users to view information about the I-21 network throughout Europe.
Showing detailed maps showing the entire network, each ring and down to street level the user could get information from a database
simply by placing the mouse over the relevant area. Clicking on the area would then take you to the next level and provide more
specific information.
The entire system, with the exception of the original maps, was designed, drawn and coded by myself after numerous meetings
detailing exactly what what required.
Full Logging & Reporting System
A full logging and reporting system was designed and written, by myself, to allow specific users to determine the usage level of their
areas against the overall usage of the Intranet.
Company address book
A daily updated company address book was accessable and fully searchable on name, department and job title as well as featuring
a full company directory.
Modular System
The Intranet had a modular construction to allow easy modification and expansion. Due to the Intranet being used constantly
around the clock it was essential to be able to add and update sections while the system was still up and running. The system
was designed so that additions could be easily added with a minimum of disruption and changes could be made to a single file and be
seen all throughout the Intranet.
